Position Title: Office Assistant/Receptionist
Location: Sun Valley, CA

Pay: $17.00 - $19.00 per hour
Schedule: Full time; Monday thru Friday; 8:00 AM to 5:00 PM with breaks and one hour lunch; Temp to Hire

Responsibilities
  • Provide various hospitality tasks for Executive Team and guests including coordinating daily Executive in-office lunch meeting
  • Assist with daily administrative operations
  • Manage Executive calendars, schedule personal appointments, schedule and organize business meetings (in person, conference calls and Zoom)
  • Prepare detailed travel itineraries, make travel arrangements, prepare COVID forms, Visa and Passports Applications
  • Create and maintain legal and administration files and records
  • Audit expense and spending reports
  • Audit invoices
  • Assist with company purchase program
  • Prepare and update a variety of reports
  • Relieve Receptionist
Skills and Requirements
  • 3-5 years office assistant experience
  • Professional and friendly disposition
  • Independently manage multiple projects
  • Work in a fast-paced environment
  • Attention to detail and procedures
  • Dependable and punctual
  • Working knowledge of office equipment
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Proficiency in MS Office – advanced skills in Excel, Word, Abby FineReader (pdf conversion utility) preferred

Working Environment:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Typical office environment, mostly indoor office environment with windows, offices with equipment noise, offices with frequent interruptions. The department atmosphere is quiet, friendly and collaborative but hardworking.
In performing the duties of this position, the employee is required to: talk and listen, sit, stand and walk throughout the work day, use of hands to finger, handle, or feel objects, tools or controls, reach with hands and arms, climb several flights of stairs throughout the day and navigate large office building.
